Kenya Community Support Centre (KECOSCE) is an NGO active in five counties of the Coast region. The organization has its offices in Mombasa. KECOSCE works with grassroots communities to facilitate an equitable and secure society through community economic empowerment, democratic governance and advocacy and Human Security, Conflict mitigation and peace building programmes. KECOSCE is seeking to recruit an Office Assistant to join its team of self driven staff and contribute to the achievement of the organization’s vision.
Reporting to the Programs Coordinator, He/she shall be responsible for providing overall administrative and logistical support to various departments and programmatic activities within the organization.
General Tasks and responsibilities
i. General reception duties which entails providing communication/customer services, responding to enquiries and providing information and advice to staff regarding administrative procedures, processes and practices, ensuring timely logistical support for the centre etc.
ii. Maintenance of updated office record keeping, filing and storage systems.
iii. Monitoring and ordering office supplies.
iv. Research data entry, typing, correspondence and filing.
v. Initiating, reviewing, processing and follow-up on actions related to the administration of the unit’s human resource activities,
vi. Assist with day-to-day administration of contracts between KECOSCE and contractors for outsourced services.
vii. Drafting routine correspondence to respond to enquiries in respect to relevant administrative, financial
audit, personnel matters.
viii. Coordinating extensively with service units and liaise frequently with internal team members both at the
office and in the field.
ix. Maintaining a conducive office work environment
x. Maintenance of the office building and other facilities in the organization.
xi. Overseeing the maintenance of vacancy announcement files and keeps track of status of vacancy
xii. Monitoring staffing table and prepare relevant statistical data/charts
xiii. Performing other related duties as required
i. Good organizational skills and record keeping (attention to detail is critical).
ii. Cheerful presence and people skills.
iii. Good oral and written communication skills.
iv. Proficiency in computer packages
v. Good organizational and scheduling skills
vi. Self starter who can work independently.
vii. Skill in establishing priorities and managing workload.
viii. Ability to follow directions.
Educational Qualification and Experience:
ix. Diploma in business administration/management.
x. Experience: 1 year in similar capacity.
Language requirements: Fluency in spoken & written Kiswahili and English languages are essential.
